Program Lead Coordinator

OVERVIEW

The Program Lead Coordinator will support the Program Manager providing daily oversight and management to 3-5 project coordinators and schedulers, managing their assigned tasks. If you are highly organized, analytical and a problem solver who enjoys interfacing with internal and external clients this role is for you!

DAY IN THE LIFE

• Assign tasks and manages workload for a group of 3-5 project coordinators / schedulers.
• Communicate with Project Superintendents about upcoming, current, and closing project needs.
• Manage customer invoice process
• Coordinate with accounting team to ensure timely payment to Suppliers
• Develop and tracks program goals, objectives, and systems.
• Purchase goods and services for Agile’s Chicago customer in the construction field.
• Manage the relationship with suppliers while assessing new opportunities.
• Develop and maintains positive and productive work relationships with other departments and key stakeholders.
• Ensure other project coordinators/schedulers consistently communicate, follow-up and resolve issues.
• Provide input to Program Manager regarding basic personnel/performance issues for coordinators/schedulers.
Supplier & Order Management
• Place purchase orders based on assigned authorization or signing limit.
• Survey suppliers regarding pricing, availability and delivery times to determine best and/or possible new supply sources.
• Negotiates contracts and price agreements to enhance cost savings and quality of service.
• Proactively identifies, researches and resolves problems with sub-contractors and customer to ensure quality service delivery.
• Manage the relationship with suppliers while assessing new opportunities.
• Identifies and onboards new suppliers, as needed
• Communicates with vendors and Accounts Payable to ensure on time payment.
• Responsible for weekly review of unpaid invoices and unused credits and managing entry of all payments according to customer’s specifications.

WHAT YOU BRING

• Bachelor’s Degree or Associates Degree in Business Administration, Supply Chain, Construction Management, Operations or related discipline
• 3 years of experience dealing directly with external vendors and/or customers
• Lead cross-departmental teams, including daily planning and prioritizing of work -required
• Expert in Microsoft Outlook, Word, Excel, and PowerPoint. Can independently create Excel spreadsheets
• Construction management and/or operations a plus
• Experience negotiating contracts and price agreements a plus
